5 signs it’s time for a new business phone system

A man working on a laptop presses a button on an office desk phone. When they began working with the Stratosphere team in 2015, one of our clients – a B2B marketing agency in the Chicago suburbs with about 125 employees – wanted to keep their on-premises phone system. However, a few years later, the company decided the time was right to migrate to a cloud phone system due to factors including high dial tone and usage costs and the need to accommodate remote workers.

While it’s often tempting to stick with what’s familiar, you’ll reach a point when it’s undeniable that your current phone system is outdated and standing in the way of your continued success. Whether you currently have an outdated on-prem PBX in place or are reconsidering your Unified Communications as a Service (UCaaS) platform, it’s probably high time to switch to a new business phone system if you notice the following signs, according to the Stratosphere team’s experience and our partners Nextiva and Mitel.

1. High telecom expenses.

If you feel you’re overspending on your current phone system, then you could potentially contain costs by migrating to a different solution. This is especially true if you have an on-site PBX and replace it with a cloud phone system, which won’t require spending on on-site infrastructure.

2. Frequent outages.

An unreliable PBX can have an extremely detrimental impact on your company, frustrating employees and customers as they struggle to communicate and collaborate. If you experience recurring outages, that’s a surefire sign that it’s time for a new system.

3. Inability to support remote work.

If some or all of your staff members routinely work off-site, you risk high rates of employee dissatisfaction and turnover along with lower productivity unless your phone system is accessible from any location. This is one of the top reasons many companies have migrated from on-prem to cloud phone systems in recent years.

4. Security issues.

Older technology is more vulnerable to hacking and data leaks and breaches. A 2020 Kaspersky survey found that 65 percent of businesses running outdated tech had suffered a data breach. If your IT team has expressed concerns about your current phone system or if you have already experienced issues with data exposure, you need to switch to a more secure solution ASAP.

5. Degrading call quality.

If your end users report frequently dropped or choppy calls, a new phone system is a must if you want to stay competitive and deliver the best possible customer experiences. Sub-par audio quality can stand in the way of effective internal communication as well.

Overall, replacing your phone system can make a big difference for your business. The B2B marketing agency that needed a new solution worked with our advisors to identify a UCaaS platform that met all their needs. After deploying the new software, the client enjoyed lower costs, clearer audio, role-based access control for better security, and enhanced remote work capabilities, among other benefits.
